SUMMIT GUIDES BOOKING CONDITIONS INFORMATION

1.     DEFINITIONS

Summit Guides’ refers to the trip provider, Mr. Thomas MB Lawfield – info@summitguides.com + 44 (0)7943 962 865 Madryn, 3 Marian Terrace, Deiniolen, Caernarfon, Gwynedd, WALES, LL55 3HT.

Participant’ refers to paying clients on Summit Guides trips.

Trip(s)’ refer to any event, course, or expedition provided by Summit Guides.

Trip Leader’ is the individual or individuals engaged by Summit Guides to lead the event, course or expedition.

Trip Dossier’ includes the ‘Trip Information’, ‘Participant Details’ and ‘Booking Conditions’ documents.

2.     LEGAL

The terms and conditions of all agreements made with Summit Guides shall be subject to, and governed by, English Law and the courts of England and Wales alone. Any disputes or claims are to be decided by the English courts, and subject to English Law alone.

3.     TERMS & CONDITIONS

A) Booking, Payments, Cancellations & Amendments

  • Prior to booking a trip, it is essential that the participant contacts Summit Guides, to ensure the trip is appropriate for the participant’s skill and fitness.

  • The contract begins when the a) deposit is paid, b) the Participant Details Form returned, and c) the participant has received a Confirmation Email.

  • Balance must be paid within 8 weeks of the start of the trip for expeditions, and 4 weeks for UK courses.

  • Refunds are not available on trip deposits.

  • For UK trips, if a participant cancels 4 weeks or more from the start of a trip, a 50% refund will be given, less the cost of the deposit.

  • For expeditions, if a participant cancels 8 weeks or more from the start of the trip, a 50% refund will be given, less the cost of the deposit.

  • For expeditions, if a participant cancels between 8-4 weeks of the start of a trip, a 25% refund will be given, less the cost of the deposit.

  • If a participant cancels within 4 weeks of the start of a UK course or expedition, no refund will be given.

  • In the event of cancellation, any non-refundable costs from services or products purchased in advance, such as permit fees or hotel bookings will be passed on to the participant. ie. this cost is deducted from the refund.

  • Refunds may take up to 28 days.

  • Summit Guides reserves the right to refuse requests for amendments to trip dates, or changes to a participant name after a deposit has been paid. Wherever possible, such changes will be accommodated at Summit Guides’ discretion but may incur additional costs, such as administrative fees for changing a name on a peak permit, or rebooking transport. In the event that amendments are not possible, the participant may either:

a) Continue with the original booking, or;

b) Cancel. In the event of cancellation, the above cancellation terms apply.

B) Itinerary Changes and Cancellations

  • While every effort is made to keep to the advertised itinerary, due to the nature of adventurous travel (weather, route conditions, local facilities, etc), itineraries are subject to minor last-minute changes, which may incur an additional cost to the participant.

  • In the event of cancellation or a significant change prior to departure, the participant will be informed at the earliest opportunity, and may:

a) agree with the suggested alternative or;

b) cancel with a full refund.

  • In the event of these changes being the result of Force Majeure – unforeseeable events beyond Summit Guides’ control – such as war, famine, riot, industrial dispute, earthquake, flooding, terrorism, or disease (including Covid-19), Summit Guides will not be liable for compensation or refund.

  • Expeditions begin and end at a rendezvous point – generally an airport or other pre-arranged transport hub in country. In the event of late arrival at the airport, participants will have to make their own way to catch up with the trip itinerary, at their own expense.

C) Liability

  • Summit Guides takes all reasonable steps to ensure a safe and enjoyable trip.

  • Mountain based activities carry risk of injury or death, which are accepted by the participants upon signing the Participant Details Form. This contains the British Mountaineering Councils (BMC) Participation Statement:

    • The BMC recognises that climbing and mountaineering are activities with a danger of personal injury or death. Participants in these activities should be aware of and accept these risks and be responsible for their own actions.

  • Summit Guides will not be liable for any itinerary change, curtailment or cancellation due to circumstances outside its control.

  • Summit Guides will not be liable for any loss, injury or death caused by a third party, whether engaged by Summit Guides or not.
